Overall, conflicts among colleagues are a natural part of working life and academia is not an exception. While they can be disruptive if left unresolved, conflicts can also lead to positive outcomes when managed effectively. At the same time, it is important to note that conflicts themselves are not inherently negative. They can lead to positive outcomes such as improved problem-solving, innovation, and increased collaboration if managed effectively. However, unresolved conflicts can have adverse effects on individual well-being, team dynamics, and overall productivity.

Fairly large institutions, such as universities or research centers, have established procedures in place that are designed to identify and resolve these problems before they escalate or blow out of proportion.

Here I report some common tips and suggestion that I hope you will find useful for avoiding and solving early stage conflicts in academia. At the same time I hope that they will not sound too simplistic or clichés:

• Choose the Right Time and Place: Find an appropriate time and private setting to address the conflict with the person involved. Selecting a neutral and comfortable environment can facilitate a more productive conversation.
• Focus on Active Listening: Pay close attention to the other person’s perspective without interrupting or jumping to conclusions. Practice active listening by paraphrasing their statements to ensure understanding and show that you value their viewpoint.
• Express Yourself Clearly and Calmly: Clearly articulate your concerns using “I” statements to avoid sounding accusatory. State your observations, feelings, and needs in a calm and respectful manner, promoting a non-confrontational dialogue.
• Seek Common Ground: Look for areas of agreement or shared goals to establish a foundation for finding a resolution. Highlight common interests and emphasize the mutual benefits of resolving the conflict.
• Propose Solutions: Offer potential solutions or compromises that address the concerns of both parties. Be open to brainstorming and exploring alternatives, showing a willingness to find a middle ground.
• Take Accountability: Acknowledge your role, if any, in the conflict and take responsibility for your actions. Apologize if necessary and express your willingness to work towards a positive resolution.

In short, try “the impossible” to find a common ground and solve it at the best of your possibilities. If this is not possible you may want to go one step further and consider the following:

• Request Mediation or Involvement of a Supervisor: If the conflict persists or becomes difficult to resolve, consider requesting the assistance of a mediator or involving a supervisor. They can provide guidance, facilitate communication, and help navigate towards a resolution.

• Seek Support: If needed, seek guidance or support from trusted colleagues or mentors. They can provide advice, insights, or a fresh perspective on the conflict and potential resolution strategies.

In short (again), try “the impossible” to find a common ground and solve the problem at the best of your possibilities.

If you are reading this post, I understand that you may have already exhausted various options and currently feel isolated and uncertain. What follows is a step by step guide for solving conflicts in academia.

Step one: find the code of conduct

A code of conduct is a set of guidelines or principles that outlines the expected behavior and ethical standards for individuals within a particular organization or profession. It serves as a framework to promote integrity, professionalism, and appropriate conduct among employees or members.

A code of conduct typically includes a range of rules and standards that govern various aspects of behavior, such as interactions with colleagues, clients, and the public, use of resources, confidentiality, conflicts of interest, and compliance with laws and regulations. It provides a clear framework for employees or members to understand what is expected of them and helps maintain a positive and respectful work environment.

A well-crafted code of conduct aims to foster trust, accountability, and ethical decision-making within the organization. It often reflects the organization’s values and mission, and can be used as a reference point for addressing ethical dilemmas, resolving conflicts, and maintaining a consistent organizational culture.

Codes of conduct can vary across different organizations and professions, but they typically serve as a guiding document that sets the standard for behavior and promotes ethical conduct among individuals within the defined community.

Step two: look at yourself and at your specific case

Before taking any action you want (again) to look at yourself and how you are conducting yourself in this specific situation, in particular:

• Identify Relevant Behaviors: Analyze the specific behaviors or actions that are causing the conflict. Compare them with the provisions and guidelines outlined in the code of conduct. Look for any violations or inconsistencies.
• Gather Information: Collect objective evidence and relevant information about the conflict. This can include witness statements, documented incidents, emails, or any other relevant documentation. Assess whether the behavior aligns with the expectations set by the code of conduct.
• Seek Different Perspectives: Try to talk to other individuals involved in the conflict or those who have witnessed the situation. Gain insights into their perspectives and gather their observations. This can help provide a more comprehensive understanding of the conflict.

Step Three: include in the conversation the relevant person/institution

If, after completing step one and step two, you remain convinced that the person you are in conflict with is engaging in behavior detrimental to your career or the institution where you work, it is advisable to schedule an appointment with a neutral third party who can assist in resolving the situation. In smaller institutions, HR personnel are usually designated for this purpose, while larger institutions often have dedicated offices or departments to address such matters.

For example, in my university the confidential advisors are the reference points for starting a formal complain towards a specific person. You may want to search for a similar role in your institution.

You may begin by scheduling a personal appointment where you can discuss the problem and present the evidence you gathered in step two. With the support of your advisor, you can explore the possibility of a mediation session involving the individual in question. If this mediation attempt proves unsuccessful, your advisor can assist you in escalating the issue to the appropriate authority or higher-ranking personnel.

Please note that you may have separate confidential advisors who specialize in different areas to address specific problems. For instance, you can seek advice from advisors who specialize in:

• Personal and inter-personal issues: These advisors can help resolve conflicts related to work relationships when regular channels have not led to a satisfactory solution.
• Scientific integrity: Advisors specializing in scientific integrity can assist in addressing and preventing violations of scientific integrity, ensuring research and academic standards are upheld.

Having specialized advisors allows you to access targeted guidance and support for specific concerns, ensuring that you receive appropriate assistance tailored to the nature of the problem at hand.

Step Four: seek legal counseling

If step three of the conflict resolution process does not yield a satisfactory solution, it becomes crucial to explore options for external support. Seeking assistance from external entities can provide additional resources and expertise to address the situation effectively. Here are some avenues you can consider:

• Labor Union: Contacting a labor union relevant to your industry or sector can be beneficial. Unions often specialize in protecting the rights and interests of employees. They can provide guidance, legal advice, and advocate on your behalf, ensuring that your rights are upheld and that the necessary steps are taken to resolve the conflict.
• Work-related Lawyer: Consulting with a lawyer who specializes in work-related issues can offer valuable legal insights and representation. They can assess the details of your case, provide advice on your legal rights, and help you navigate any potential legal actions that may be necessary. A specialized lawyer can assist in negotiating settlements, representing you in dispute resolution processes, or initiating legal proceedings if required.

Furthermore, it is important to leverage the information gathered in step two of the conflict resolution process. By analyzing the evidence and data collected, you can gain a better understanding of the broader context of your situation. This knowledge can help you assess whether your experience is an isolated incident or part of a recurring pattern. Recognizing patterns can provide valuable insights into systemic issues within the organization and strengthen your case for resolution.

Final take home message for resolving conflicts in academia

Conflicts in academia arise from differences in values, goals, communication, working styles, power struggles, personality clashes, and organizational issues. Resolving conflicts requires active listening, clear expression, finding common ground, proposing solutions, and taking accountability. Seeking mediation, involving a supervisor, or seeking support from colleagues can be helpful. Understanding the code of conduct, examining your own behavior, and gathering information are important steps. Confidential advisors specialize in personal issues and scientific integrity. Legal counseling from labor unions or work-related lawyers can be sought if internal resolutions fail.

Remember, seeking external support should be considered as a last resort when internal avenues have been exhausted. This general rule is also true for conflicts in Accademia. Overall, it is essential to evaluate the specific circumstances of your conflict and choose the most appropriate course of action based on your unique situation and the advice received from professionals.

The first 2 talks are given by Larry McEnerney from the University of Chicago. He advocates a reader centric approach where the main goal of the writer is to deliver value for the reader.

Practical actionable advice is based on viewing the scientific community as a collection of groups of individuals that speak a particular language and have agreed to advance the field into a particular direction. Taking into account this situation, you may want to consider the following advice:

• Learn the jargon of the community and use it in your writing.
• Learn the goals of the community and write from the point of view of how your work can help them (your readers!) advancing their understanding of the topic.
• Before pointing out a particular fallacy, consider praising the work done by other members of the scientific community.

This first talk targets young scholars such as Master and PhD students:

This second talk addresses the writing needs and styles of practitioners in their particular field of expertise. You will find some degree of repetition here, but also new opportunities for reflecting.

This last talk is given by Steven Pinker on December 9th, 2014 at Harvard, together with and Jill Abramson. The title is “Mastering Style: The Learning and Teaching of Writing”, and the talk is based on Pinker’s book: “The Sense of Style: The Thinking Person’s Guide to Writing in the 21st Century“.

Especially this last talk can serve as an excellent inspiration for high-quality writing. It presents interesting reflections on the way we cognitively process reading and writing.

It also outlines two different styles:

• the Classic style
• the Postmodern/Self-Conscious style

The first (Classic Style) focuses on helping the reader in seeing the objective reality. This goal can be accomplished by focusing on “the thing being shown” instead of presenting “the activity that happens when studying it”. With this style, it is important to avoid clichés and “metaconcepts” (concepts about concepts), among other recommendations. If you feel lost by now, just listen to the talk -it will clarify all these aspects.

On the other hand, academic papers are frequently written in a postmodern or self-conscious style. These approaches encourage techniques like apologizing and hedging.

In summary:

As a final remark, please remember that writing is supposed to bring value for the readers. It is fundamental to adopt this mindset as well as the point of view of the readers. This task looks intuitive and simple. However, it is far from easy. A proper internalization of this core message can serve as a starting point for increasing the quality of your writing.

• An application server’s fundamental job is to provide its clients with access to what is commonly called business logic, which generates dynamic content. That is, it’s code that transforms data to provide the specialized functionality offered by a business, service, or application.

These servers are typically physically part of an Intranet, an Extranet, or the Internet:

• An intranet is a computer network for sharing information, collaboration tools, operational systems, and other computing services within an organization, usually to the exclusion of access by outsiders.
• An extranet is a controlled private network that allows access to partners, vendors, and suppliers or an authorized set of customers – normally to a subset of the information accessible from an organization’s intranet.
• The Internet is a global computer network providing a variety of information and communication facilities, consisting of interconnected networks using standardized communication protocols.

The video below provides an introduction to how software and hardware are organized in order to ensure proper interoperability. Note that it is featuring Netscape as the browser of choice: the video is old but still relevant.

I believe that the video above is a good introduction to Computer Networks. Some of the components mentioned include:

• LAN (Local Area Network): A local area network is a computer network that interconnects computers within a limited area such as a residence, school, laboratory, university campus, or office building. LAN are a collection of cables and switches. WiFi is a particular type of LAN.
• Packets (IP, Data, etc): A network packet is a formatted unit of data carried by a packet-switched network. A packet consists of control information and user data; the latter is also known as the payload. Control information provides data for delivering the payload.
• Router (local or remote): Performs the traffic directing functions on the Internet. Data sent through the internet, such as a web page or email, is in the form of data packets. A packet is typically forwarded from one router to another router through the networks that constitute an internetwork (e.g. the Internet) until it reaches its destination node. The video also mentions Router-switch, that normally are routers of better quality that sit at the intersection of your LAN and the internet.
• Proxy Server: A server application or appliance that acts as an intermediary for requests from clients seeking resources from servers. It may also offer security features as well as filtering capabilities.
• URL: A Uniform Resource Locator, colloquially termed a web address, is a reference to a web resource that specifies its location on a computer network and a mechanism for retrieving it.
• Firewall: A system designed to prevent unauthorized access to or from a private network. You can implement a firewall in either hardware or software form, or in a combination of both. Firewalls prevent unauthorized internet users from accessing private networks connected to the internet, especially intranets and extranets. Firewalls have ports (or doors) that are open for communication and other that are closed. The most common ports are 80 for standard internet traffic and 25 for e-mail traffic.
• IP, TCP/IP, UDP/IP: They are a part of the Internet protocol suite. It is a conceptual model that defines the communications protocols used in the Internet and similar computer networks. It is commonly referred to as TCP/IP because the foundational protocols in the suite are the Transmission Control Protocol and the Internet Protocol.

A significant health concern is addiction, a brain disease that can affect anyone. 

The most severe form of substance use disorder (SUD), addiction manifests as a compulsion for a substance or behavior. If addiction is left untreated, it can affect your life in multiple ways: financially, socially, physically, and mentally. 

There are various approaches to fight addiction. You can use traditional psychotherapy, technological methods, or a combination of both.

The Internet of Things (IoT)—a network of Internet-connected devices—is a technological innovation that can help fight addiction and facilitate online recovery. 

As of July 2020, more than 4.5 billion people globally were active Internet users. 

How Can the Internet of Things Help Fight Addiction?

There are various ways the Internet of Things helps to provide online recovery. The Internet of Things offers:

Anonymity

A 2014 study of public attitudes by the Johns Hopkins Bloomberg School of Public Health found that society is more hostile towards people with substance use disorders (SUD) than those with mental illnesses. This animosity—even among family members or people close to us, makes people uncomfortable seeking help for their SUD. 

Celebrities and other well-known people may feel they can’t be seen seeking help without risking legal trouble or loss of professional standing. That’s one reason why 12-step organizations like Alcoholics Anonymous are anonymous; they can help people recover from addiction without feeling judged.

The Internet of Things helps to maintain the anonymity of those fighting their addiction. You can create an anonymous profile on an online recovery program or anonymously get information on how to get help for addiction. Many 12-step groups have long offered online meetings. Since the COVID-19 pandemic, these online meetings have increased. 

Some addiction professionals also offer online consultations.

Technology-Based Interventions

Traditional methods are still instrumental in addiction recovery. The Internet of Things uses technology-based interventions to supplement and support traditional addiction treatments, not replace them, assist online recovery, and prevent relapse.

Technology-based interventions include:

• Technology-assisted behavioral therapies like individual counseling.
• Education on substance and behavioral addiction.
• Recovery support programs.
• Prevention resources.
• Information resources.
• Wellness monitoring.

The Internet of Things provides access to these interventions through various methods which include:

• Zoom and other types of video conferencing.
• Telephone counseling.
• Web-based text communication, such as chat, emails, and online forums.
• Self-directed therapeutic tools.
• Self-assessment tools.

While such technology-based interventions have little impact on addressing behavioral addictions, it is still significant.

Centralized Prescriptions

Prescription drugs are a concern because of the high abuse, addiction, overdose, and fatalities. Opioids are one of the significant prescription drugs raising a lot of concern. 

Currently, the United States is in the middle of an opioid epidemic. In 2012, there were more than 250 million opioid prescriptions. By 2018, however, the number had decreased to fewer than 170 million prescriptions. Still, 128 people lost their lives every day due to opioid overdose.

The Internet of Things provides prescription monitoring programs that help healthcare officials monitor and control prescriptions. The monitoring programs can also store your prescription history to indicate if you are responsible enough to take the prescriptions home.

Awareness

The Internet is an extensive information resource that young people prefer to brick-and-mortar libraries. The Internet of Things increases awareness of and access to information about addiction recovery, such as:  

• Types of addiction. 
• Causes. 
• Symptoms. 
• Effects. 
• How to get help.  

The Internet of Things is all about communication. You can use various platforms to ask questions, learn about campaigns, present your views, debate, and seek addiction support. Since it’s online, you can have few interruptions when addressing your thoughts and can take your time to give responses.

Monitoring Apps and Use of Wearables

The Internet of Things has also made it possible to fight addiction through artificial intelligence applications and wearables. There are smartphone apps available that create addiction awareness and monitor the chances of relapse.

Wearables have sensors that track your habits. For example, a smartwatch can detect hand movements used in smoking, create awareness of the effects of smoking, and give out reward points when you abstain.

You can also use a wearable breathalyzer to monitor your alcohol consumption and the alcohol content in your body. 

Other wearables offer physical stimuli like a tiny zap to prevent you from engaging in addictive habits.

Final Thoughts

Addiction is a disease characterized by a compulsion to engage in a particular behavior or use a substance. There are various treatment and prevention measures for addiction. Treatment is more effective if you keep up on trends and combine various methods.

The use of the Internet of Things is one of the trends. It will help you fight addiction in various ways, including anonymous online recovery, use of wearables, prescription control, technology-based interventions, and addiction awareness.

At a first look these questions look really obvious, to the point that they do not really need to be answered. However, “the obvious” is what most often shapes our behavior without us being aware of it. In particular, our relation with the objects around us, from an anthropological perspective, is what literally allowed us to become humans and helped us in interacting and modifying the surrounding environment.

This study intends to provide an introspective analysis of the way we approach the relationship we have with “things”. As a result, this study may foster a deeper understanding of ourselves and help us in prioritizing what we need, what we want and what we desire in life.

Dr. Heidi Toivonen and me decided to develop a multidisciplinary research on human-smart devices interaction that will try to answer some of these questions in a scientifically sound manner.  

In this respect we need your help! In particular, we are inviting you to take part in a little survey regarding your relationship with smart devices. In taking this survey, you will be able to reflect on how you relate to technology. At the same time you will be contributing to a study that aims to foster a deeper understanding of human interaction with personal smart devices that are becoming a more and more pervasive element of our everyday life.
